A monthly management report is worth reading only if it tells you, in a few minutes, whether the month was actually good — and what needs attention next. For most Calgary businesses, that means starting with profit, then cash, then what is owed to you and what you owe. The rest is detail you can check when something looks off.
What a management report actually is
A management report is not a tax return and it is not just a bank balance. It pulls together your bookkeeping for the month — sales, expenses, bank and credit card activity — and puts it in a form you can act on. Good bookkeeping comes first; without it, the report is guesswork. That is why ABS Management Report services sit alongside monthly bookkeeping, with a CPA-certified team reviewing the numbers.
The five things to read every month
1. Profit and loss — did you actually make money?
Look at revenue, then the costs of doing the work, then overhead. A month can feel busy and still lose money if costs crept up. Compare it with last month, not just with a budget you set in January.
2. Cash flow — is there money to pay the bills?
Profit on paper is not cash in the bank. Check what came in, what went out, and what is coming due in the next few weeks. This is the page that stops most surprises.
3. What customers owe you
Unpaid invoices that sit too long are a quiet problem. If one customer or job accounts for most of what is outstanding, deal with that first.
4. What you owe, and when
Supplier bills, GST/HST, payroll remittances where applicable, and loan payments all have their own timing. A short list, with due dates, is more useful than a long report you never open.
5. One comparison that matters
Pick one comparison and keep it the same each month — last month, the same month last year, or your plan for the year. Changing the comparison every month makes it hard to see a trend.
Red flags worth a closer look
A margin that drops for two months in a row, expenses rising faster than sales, or cash falling while sales rise are all worth asking about before they become a larger problem. None of these automatically means trouble, but none of them should be ignored either. Bring them to your monthly review and ask what changed.
